VOLT’s client is looking for an Administrative Assistant- Part time

This is an estimated 1-year + Contingent/Temporary position in Spokane, WA and offered through Volt Technical Resources. This is a part time administrative role, 20 hours per week. Flexible on hours and days. Would prefer two eight-hour days and one four-hour day. This role includes invoicing, setting meetings, taking notes, organizing events, doing mailings (mail merge) etc.

Job Responsibilities:

  • Work on updating Compliance database (Catsweb)

  • Assist with meetings logistics (mailings, prep, and notes)

  • Send out annual private recreation land use permits, process applications and checks, and maintain database

  • Annual Report and Annual Implementation Plan preparation, coordination, and distribution

  • Database support

  • Annual calendar

  • Develop and maintain a photo database

  • Support program specific budgeting and purchasing, as needed

  • Assist with coordinating maintenance for fleet equipment

  • Accounts Payable

  • Daily Communication with internal and external stakeholders

  • Management of data files

  • Coding and filing of data and reports

  • Meeting logistics and note taking

  • Process mailings to stakeholders and others

Education, Experience, and Skills Required:

  • 2+ years of general office experience

  • Experience with Microsoft Office (Word and Excel)

  • Ability to organize and prioritize work and meet deadlines

  • Strong written communication (Email, presentations, documents)

  • Ability to troubleshoot and solve problems

  • Excellent communication skills, self-motivated, self-starter, sense of urgency, personable and outstanding organizational skills

  • Must be able to work in a fast-paced environment

  • Must be detail oriented and thorough in following procedures

  • Strong social skills, must work well with others

  • Able to work alone and/or under supervision
