We are looking for an Administrative Lead to join our Spokane office. The Administrative Lead provides general oversight of the administrative team within the office. The position supports operations by supervising staff, including managing workflow and performance, planning, organizing, and implementing administrative systems.


  • Assists with supervision of workflow management and training of the administrative team

  • Provides administrative support to the partner in charge

  • Provides administrative support to the business operations of the office including practice groups and individuals, with specific emphasis on the Telecom team

  • Reviews calendars and anticipates logistical opportunities or needs to assist; manages travel arrangements as needed

  • Serves as a point of contact for internal and external clients including: screening phone calls, ensuring client messages are communicated to the appropriate client service staff, and following up with clients, when appropriate

  • Works with regional operations team to ensure compliance with regional and firm policies and best practices

  • Acts as liaison to office leadership to help ensure compliance and understanding of firm and regional policies and goals

  • Takes proactive steps to ensure best practices are shared across departmental teams and with regional peers

  • Helps champion regional and firm initiatives and process improvement for enhanced consistency and improved efficiencies among administrative teams and client groups

  • Creates and edits office and/or departmental presentations

  • Prepares time and expense reports for individuals supported

  • Responsible for basic accounts payable procedures including, PCard reconciliations, and expense reports sign-offs

  • Acts as a liaison with firm’s client billing department to ensure requests are met in a timely manner

  • Work with regional finance team on reporting requests

  • Formats and types a variety of correspondence

  • Manages location’s gift card and internal perks programs

  • Coordinates conferences and special events

  • Knowledgeable on both tax and assurance quality control processes

  • Knowledgeable on tax compiling process

  • Provides support for new client acceptance process, obtaining approvals and initiating Elite client set up request forms

  • Oversight of facilities and vendor relationships

  • Special projects as assigned

  • Other duties may be assigned to meet business needs


  • High School Diploma/GED required: Bachelor’s degree in Business Administration, Human Resources, or related area preferred

  • Minimum of 5 years of progressive responsibility providing executive level support in a professional corporate environment

  • Prior management or supervisor experience preferred

  • Strong organizational and multi-task abilities; able to effectively prioritize work and consistently meet deadlines

  • Must be able to interact and communicate with individuals at all levels in the firm

  • Must have a high level of interpersonal skills to handle sensitive situations and confidential information

  • Strong written and verbal communication skills

  • Attention to detail, accuracy, and follow-through

  • Customer service oriented, both internal and external

  • Proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Experience in a financial services firm a plus

  • Ability to create strong mentoring relationships

  • Flexibility with overtime to meet deadlines
